Workflow question - DSpace XML 1.8.2

Hello

 

Is there a way to - once enabled workflow steps to one collection in DSpace 182 xml - skip all workflow steps in the case where a manual submission is performed by an administrator? We would like to avoid the task of approving your own submissions.

Dear Ina,

Thank you very much for your reply and suggestion.

Submitting to a new (other) collection would still mean that you need to intervene twice on a submission.

 

Anyone else has found a solution to avoid the  step of approving the administrator’s submissions ?

Dear Paolo

 

I would suggest that you create a Collection without any workflows attached, to which only the Admin can submit. Once submitted it can be moved to another collection, but at least it will already be visible with a persistent URL assigned? Don’t know whether this might help, but I can’t think of a quicker way.

Hi,
what about the Ian Smith proposed solution, but  with a curation task  to move the items from this collection to the original one? ....You have to intervene just one time..

Hi Paolo, Lotta,

not an immediate answer to your question, but an alternative approach instead:
As an administrator, you can use the CSV batch edit tool also to submit new items. This may speed up your process.

I noticed that the DSpace documentation was quite limited in terms of instructions for using the web user interface for this purpose.
Therefore, we added a few screenshots to make this clear:

Dspace 4.x - Web Front end to Importing/Exporting via Simple Archive Format?

I've been googling around looking to see if anyone has written a batch import front end for Dspace (we are running 4.1).    The import via Simple Archive Format on the command line works wonderfully, but we're hoping that there is some sort of web front end out there to make it easier for staff who are uncomfortable at the command line. 


And advice appreciated!

I have shared some code that might be useful for this task.


We run this code in Apache alongside our DSpace instance.

The code requires a bit of customization to get it running.

Dear Bram et al,

 

Thank you for this suggestion, which I’m sure is valid for some that are not yet using the function of batch import.

 

However, we are trying to set up self-submission for a collection of our repository, and if we do that any submission that is entered into this collection has to go through at least one step of  the dspace workflow procedure. In practice this is very time consuming since single submissions made by an administrator  will also need to be approved. This means double work (at least double).

 

So the question is if there is a way to skip the workflow step of approval when the administrator is submitting (manually input form and not batch import).

Is there a way to - once enabled workflow steps to one collection in DSpace 182 xml - skip all workflow steps in the case where a manual submission is performed by an administrator? We would like to avoid the task of approving your own submissions.

Hi Sara,

Thats a great question you've brought up, thanks. One of my goals for DSpace would be for the admin to be able do as much self-service as possible, and not need to ssh into servers, or contact IT to do the other half.

Terry's got some cool solutions that have been steadily improving, I'm actually pretty impressed with how robust it is growing into. So, I'm scratching my head, because I'm wondering if this remote deposit is something that DSpace should be developed to support, or if middleware like Terry's tools are the way to go. Both?

In my head I'm thinking DSpace could support select-a-collection, select-an-eperson, paste in web accessible url of SimpleArchiveFormat ZIP'ed content, and then let it run.

I think it might be worthwhile for people to take a look at the workflow between content acquisition (receive boxes of physical content that needs digitization) or (receive borne digital files), all the way to DSpace ingest (whether that is batch, one-by-one UI, or SWORD). Ultimately people would want efficient/accurate flows. i.e. What is your digitization flow, What is your metadata tagging flow, QA flow, create SimpleArchiveFormat Package flow, etc.

It seems that there is an Admin UI (since DSpace v4) to batch import from various bibliographic formats (bibtex, endnote) or other formats (CSV, TSV).

You can also take a look at CINECA’s Item Submission Lookup extension (https://wiki.duraspace.org/display/DSDOC4x/Submission+User+Interface#SubmissionUserInterface-ConfiguringStartSubmissionLookupStep) which will batch import items via the default submission procedure of your repository.

Is there any way to get a jsonp response back from the 4.1 REST API - https://wiki.duraspace.org/display/DSDOC4x/REST+API?  \

I've tried http://demo.dspace.org/rest/collections?callback=test with an Accept header of 'application/json' to no avail - though it does return nice json!

Dear Lotta,

as far as I know there is no quick fix to implement this.

However, there is technical infrastructure to make profound modifications to the workflow. This framework is referred to in the documentation as "Configurable workflow".
This would enable you to drastically alter the behaviour and outcomes of workflow steps.

Thank you for this suggestion, which I’m sure is valid for some that are not yet using the function of batch import.

 

However, we are trying to set up self-submission for a collection of our repository, and if we do that any submission that is entered into this collection has to go through at least one step of  the dspace workflow procedure. In practice this is very time consuming since single submissions made by an administrator  will also need to be approved. This means double work (at least double).

 

So the question is if there is a way to skip the workflow step of approval when the administrator is submitting (manually input form and not batch import).

not an immediate answer to your question, but an alternative approach instead:

As an administrator, you can use the CSV batch edit tool also to submit new items. This may speed up your process.

 

I noticed that the DSpace documentation was quite limited in terms of instructions for using the web user interface for this purpose.

Therefore, we added a few screenshots to make this clear:

Submitting to a new (other) collection would still mean that you need to intervene twice on a submission.

 

Anyone else has found a solution to avoid the  step of approving the administrator’s submissions ?

Dear Paolo

 

I would suggest that you create a Collection without any workflows attached, to which only the Admin can submit. Once submitted it can be moved to another collection, but at least it will already be visible with a persistent URL assigned? Don’t know whether this might help, but I can’t think of a quicker way.

Is there a way to - once enabled workflow steps to one collection in DSpace 182 xml - skip all workflow steps in the case where a manual submission is performed by an administrator? We would like to avoid the task of approving your own submissions.
